In my opinion you should be sincere and polite that makes you feel comfortable in communication. Make sure you have a sincere greeting and make them feel welcome which create an open environmental atmosphere between you and the company you welcome. Just feel relax and don't embarrass yourself or the company. Make it brief and easy for them to understood.

Well you should be sincere and honest in your approach. You will want to include a greeting with the names of the people you are addressing.
